What’s on Form W-9
The March 2024 revision of the form asks for:
- Line 1: the payee’s name, as shown on their income tax return, and line 2: a business or disregarded entity name, if different.
- Line 3a: the federal tax classification: individual or sole proprietor, C corporation, S corporation, partnership, trust or estate, LLC (with its tax classification), or other. Line 3b, new in 2024, is a box for flow-through entities with foreign partners, owners or beneficiaries.
- Line 4: exemption codes, for exempt payees and FATCA reporting.
- Lines 5 and 6: the address, city, state and ZIP code, and line 7: account numbers, if any.
- Part I: the TIN, either a Social Security number or an employer identification number.
- Part II: the certification, signed and dated under penalties of perjury.
Collect W-9s from every vendor with one link
Upload the W-9 once and BoltPDF finds its fields. Then make a share link that asks for a signature and send it to your vendors, or put it on your website. Each vendor fills in their name, classification, address and TIN, confirms their email and signs. Every submission becomes a record in BoltPDF with the signed PDF and its audit trail, so the TINs you need for 1099s are already typed in, not sitting in a stack of scans.
Fill W-9s for all your clients at once
When your clients are the ones being asked for a W-9, keep each client’s details as a record. BoltPDF fields share standard names, so the name, EIN and address you enter once also fill Form 8821, Form 2848 and any other form that asks for them. To do a whole client list, import a CSV with one row per client and download every filled W-9 in one ZIP.
Keep TINs out of reach
A W-9 carries a full SSN or EIN. In the records spreadsheet, SSN and EIN columns show only their last four digits until someone chooses to show them, and each record keeps a log of who viewed or changed it. If you need to pass a W-9 on with the TIN blacked out, redact it in BoltPDF first. It happens in your browser, and the TIN is taken out of the file, not just covered.
